2. What personal data we collect
We may collect the following personal data when you contact us or engage our services:
- Your name and job title
- Your email address and phone number
- Your business name and sector
- Details of your workflows, processes, and business operations that you share with us
We do not use cookies, web analytics, tracking scripts, or advertising pixels on this website. No personal data is collected automatically when you visit this site.
3. How we collect your data
We collect personal data only when you provide it to us directly — by email, LinkedIn, or in the course of meetings and consultations. We do not purchase or obtain data from third parties.
4. Why we process your data
We process your personal data for the following purposes, each with a lawful basis under UK GDPR:
- Responding to enquiries — to reply to your messages and discuss whether our services may suit your needs. Lawful basis: legitimate interests (Article 6(1)(f)).
- Delivering contracted services — to perform the work agreed between us. Lawful basis: contract performance (Article 6(1)(b)).
- Invoicing and record-keeping — to issue invoices and maintain financial records. Lawful basis: legal obligation (Article 6(1)(c)) — UK tax law requires us to retain financial records for 6 years.
We do not use your data for marketing or share it with third parties for commercial purposes.
5. Third-party processors
Because our services are bespoke, the tools and platforms used vary by engagement. We will inform you of any third-party software processors involved in your specific project before work begins, and will only use processors that offer safeguards equivalent to UK GDPR.
At a baseline, we use standard business tools for communication (such as email and video conferencing software). Where these are operated by companies outside the UK, appropriate transfer mechanisms are in place (see Section 6).
6. International transfers
Some tools we use are operated by companies based outside the United Kingdom, which means personal data may be transferred internationally. We only use reputable service providers who maintain their own compliance with UK data transfer requirements — for example by operating under the UK International Data Transfer Agreement (IDTA), Standard Contractual Clauses, or adequacy decisions. You can request details of the specific processors involved in your engagement.
7. How long we keep your data
- Enquiries and CRM contacts — we retain your contact details for up to 3 years from your last meaningful contact. You can request deletion at any time.
- Client data from completed engagements — financial and contractual records are retained for 7 years as required by HMRC. Project-related personal data not required for tax purposes is deleted within 12 months of project completion.
8. Your rights under UK GDPR
You have the following rights regarding your personal data:
- Right of access — to request a copy of the data we hold about you.
- Right to rectification — to request correction of inaccurate data.
- Right to erasure — to request deletion of your data, subject to legal obligations.
- Right to restriction — to ask us to pause processing your data in certain circumstances.
- Right to data portability — to receive your data in a structured, machine-readable format.
- Right to object — to object to processing based on legitimate interests.
- Rights related to automated decision-making — we do not make automated decisions about individuals.
To exercise any of these rights, contact us at roopesh.patel@rpdigitalsolutions.co.uk. We will respond within one calendar month.
9. Right to complain
If you believe we have not handled your personal data correctly, you have the right to lodge a complaint with the Information Commissioner's Office (ICO):
- Website: ico.org.uk
- Telephone: 0303 123 1113
We would, however, appreciate the opportunity to address your concern directly before you contact the ICO.
10. Changes to this policy
We may update this privacy policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Continued use of our services after an update constitutes acceptance of the revised policy.
